Privacy policy

This policy explains what personal information Applied Thread collects through this website and in the course of working with you, why we collect it, and the choices you have. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Who we are

Applied Thread is a software and automation consultancy based in Hamilton, Ontario. We are responsible for the personal information we collect, and we have designated a person to be accountable for our privacy practices. You can reach them using the contact details at the end of this policy.

What we collect

We only collect what we need to respond to you and do the work you hire us for.

  • Contact form: your name, business name, email address, and phone number.
  • Correspondence: anything you choose to tell us by email, phone, or on a call, such as details about your business, tools, and goals.
  • Client records: if you become a client, the contact and billing details needed to deliver and invoice the work.
  • Technical data: like most websites, our hosting provider automatically logs basic request information such as IP address, browser type, the page requested, and the time of the request. We use this only to keep the site running and secure.

Cookies and tracking

This website does not use cookies, analytics, advertising pixels, or any other tracking tools. We don't build profiles of visitors.

Some icons on the site are loaded from unpkg.com, a public content delivery network. Like any web server, it receives your IP address and browser details when it delivers those files.

How we use it

  • To reply to your enquiry and arrange a call.
  • To understand your needs and prepare a proposal or quote.
  • To deliver, support, and invoice work you've engaged us for.
  • To keep business and tax records as required by law.
  • To protect the website against abuse.

We don't sell, rent, or trade personal information, and we won't add you to a marketing list without your express consent.

Consent

By submitting the contact form or emailing us, you consent to us using your information for the purposes above. If we ever want to use it for a new purpose, we'll ask first. You can withdraw your consent at any time by contacting us, subject to legal or contractual limits. If you withdraw consent, we may not be able to provide some services.

Who we share it with

We share personal information only with service providers that help us run the website and our business, such as our website host, email provider, and accounting software. They may only use it to provide services to us, and must protect it.

Some of these providers store data outside Canada, including in the United States. While there, your information is subject to the laws of that country and may be accessible to its courts and authorities.

We may also disclose information when required by law, or as part of a sale or reorganization of our business, in which case it remains protected by this policy.

How long we keep it

Enquiries that don't lead to a project are deleted within 24 months of our last contact. Client records are kept for as long as we're working together and then for the period required by Canadian tax law, generally six years. Server logs are kept by our hosting provider for a limited period and then deleted automatically.

How we protect it

We use reasonable safeguards for the sensitivity of the information, including encrypted connections (HTTPS), access limited to people who need it, and multi-factor authentication on the accounts where it's stored. No method of transmission or storage is completely secure, but we take care to protect what you share with us.

Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it where we're not required to keep it. We'll respond within 30 days. We may need to confirm your identity before acting on a request.

If you're not satisfied with how we've handled your information, please tell us first so we can try to fix it. You also have the right to complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Children

This website is intended for businesses. We don't knowingly collect information from anyone under 16.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. If we make a significant change to how we use your information, we'll notify clients directly.
